As a company, we are committed to offering our employees a challenging and rewarding work environment, opportunities for growth and development, a customer focused culture, a community to give-back, and competitive pay and benefits.Organizational structureHR Assistant/Executive Assistant reports directly to the SVP, Chief Human Resources OfficerHR ResponsibilitiesCreate and maintain company org chartsOwn the HR Department Meeting Calendar and AgendaDuring year end, track and maintain performance review/succession documents for retail & corp.Serve as a dependable point of contact for general department questionsLearn the basics of HR Administration and be a back up for payroll processing, time keeping and other time off/holiday accrual trackingAssist with consolidating data for HR Dashboard and reporting metricsAssist in setting up NY corporate events & holiday partyOnboarding project team memberTrack req form processMaintain job board by posting all Retail & NY Corp JobsAssist Talent Acquisition Team with sourcing, candidate outreach, screening callsAdminister reference checksCreate offer lettersExploratory calls to potential candidatesAdmin ResponsibilitiesManage administrative tasks including, but not limited to, reports, memos, letters, expense reports, and other documents for the CHROProvide high quality coordination with Board Members and Steering Committee LeadersManage travel arrangements for the CHRO and HR DepartmentManage a complex business calendar, and prioritizes incoming information and/or appointments; carries out assigned tasks and projects as requiredManage logistics for meetings including organizing agendas, booking meeting rooms, preparing written materials, managing catering, etc.Ensure confidentiality when handling classified informationHandle incoming communications and interprets/applies policies, procedures and operations efficientlyAssist in creating PowerPoint presentations, reports, and management meeting filesFile and retrieve corporate documents, employee records and reportsDevelop relationships with internal administrative staff to facilitate meeting planning and schedulingEnsure effective flow of meetings; follow up and confirm all meetings in advanceWork on special projects and presentations as directed by the CHROQualifications/Experience:Bachelors degree preferredExperience with administrative support either as a committee member, internship or work experienceExhibit discretion, judgment, tact and poiseAbility to multi-task in a fast paced environmentExcellent interpersonal and communication skills (written and verbal)Excellent problem solving skillsMust have excellent time management, the ability to prioritize tasks effectively and work under strict deadlinesMust demonstrate the ability to maintain confidentialityMust be proficient in Microsoft Office applications including Excel, PowerPoint and WordCompensationThe successful candidate will enjoy a competitive compensation package which may include short and/or long term incentives, clothing allowance, and merchandise discount, in addition to base salary and full health and welfare benefits.Vince strives to maintain a diverse workplace and does not discriminate against any employee or job applicant because of race, color, religion, national origin, sex, physical or mental disability, or age.Vince is an Equal Opportunity Employer and Affirmative Action Employer, M/F/D/V
